RATMA Film Festival Entry Terms and Conditions

RATMA Film Festival is operated by RATMA Film Festival CIC, a Community Interest Company. Voluntary donations help us meet the costs of running and developing the festival, including venue hire, screening equipment, publicity, awards and other festival activities.
These Terms and Conditions apply to films submitted to the RATMA Film Festival.
By submitting a film to RATMA, the entrant confirms that they have read and agree to these Terms and Conditions.
1. About RATMA Film Festival
RATMA Film Festival is an amateur film festival based in Keighley, West Yorkshire, UK.
The festival is open to filmmakers from around the world.
RATMA originally began as a student project at Keighley College and has developed into a festival intended to encourage amateur and emerging filmmakers to be positive, creative and make films.
2. Eligibility
Films submitted to RATMA must meet the eligibility requirements published on the RATMA website and entry form.
Unless otherwise stated:
- Films must be no longer than 20 minutes, including credits.
- Films must be submitted in the format specified by RATMA.
- The entrant must provide accurate information when submitting their film.
- RATMA reserves the right to reject entries that do not meet the published requirements.
RATMA may introduce additional categories or eligibility requirements for particular festival years. Where applicable, these will be published on the RATMA website and entry form.
3. Who can submit a film
A film may be submitted by the filmmaker, producer, production team member or another person who has the authority to submit the film.
If you submit a film on behalf of another person, organisation or production team, you confirm that you have the authority to do so.
4. Copyright and third party rights
The person submitting a film is responsible for ensuring that they have the necessary rights and permissions to submit the film to RATMA.
The entrant confirms that, where applicable, they have obtained the necessary permissions relating to:
- Copyrighted music
- Film footage
- Photographs
- Artwork
- Performances
- Actors and contributors
- Locations where permission is required
- Third party intellectual property
- Any other material incorporated into the film which is owned or controlled by someone else
RATMA does not accept responsibility for copyright infringement or other legal claims arising from material contained within a submitted film.
If a dispute arises concerning the rights to a submitted film, RATMA may request evidence of the relevant permissions or temporarily remove the film from consideration while the matter is investigated.
5. Film submission
The entrant is responsible for ensuring that their film and accompanying information are submitted correctly and by the published deadline.
RATMA cannot guarantee acceptance of files that are incomplete, corrupted, inaccessible or submitted after the deadline.
Where technically possible, RATMA may contact the entrant to request a replacement file.
6. Selection
Films submitted to RATMA will be considered for selection in accordance with the festival's published selection process.
Submitting a film does not guarantee that it will be selected.
RATMA reserves the right to make the final decision regarding which films are selected for the festival.
Selection decisions are final.
7. Festival screening
If a film is selected, the entrant grants RATMA permission to screen the film as part of the RATMA Film Festival.
This may include public screenings in Keighley and other festival screening locations or events organised by RATMA.
Selected films are expected to be available for the festival screening period unless otherwise agreed with RATMA.
8. Public voting
Selected films may be made available for public viewing in Keighley as part of the festival.
Members of the public may be invited to vote for their favourite film.
RATMA reserves the right to establish and publish the rules governing public voting.
9. Promotion of the festival and selected films
Where the entrant has granted the relevant permission on the entry form, RATMA may use short extracts from the film, trailers, posters, still images, film titles, filmmaker names and other supplied promotional material to promote the festival and the selected film.
Promotional use may include:
- The RATMA website
- Social media
- YouTube
- Online advertising
- Press and media publicity
- Printed festival publicity
- Presentations and promotional events
RATMA will use such material for festival and related promotional purposes and will not sell the filmmaker's film or extracts from it as a standalone commercial product.
10. Optional online screening after the festival
Where an entrant has specifically opted in to this permission, RATMA may make the film available to watch on the RATMA website for the period specified on the entry form.
This permission is optional and is not required to enter RATMA.
After the agreed online viewing period has ended, RATMA may replace the film with a thumbnail, title, filmmaker information and a link to the filmmaker's website or social media where such information has been provided.
11. Withdrawal of a film
An entrant may request that their film be withdrawn from consideration by contacting RATMA at ratmaff@gmail.com.
RATMA will make reasonable efforts to accommodate withdrawal requests received before the relevant screening or publication.
Once a film has been screened or published as part of the festival, RATMA cannot guarantee that all references to the film can immediately be removed from photographs, recordings, printed material, social media posts or other promotional material already created or distributed.
12. Filmmaker information and publicity
By entering the festival, the entrant agrees that RATMA may identify the selected film using information supplied as part of the entry, such as:
- Film title
- Filmmaker or director name
- Production name
- Country
- Film synopsis
- Website or social media links where the relevant permission has been provided
Any optional permissions requested on the entry form will be treated separately.
13. Film content
RATMA aims to provide a welcoming and positive environment for filmmakers.
RATMA reserves the right to reject or remove a film where it reasonably believes that the film contains unlawful material, material that creates a significant legal risk for the festival, or material which is seriously incompatible with the festival's published rules.
RATMA may also refuse a film where its inclusion could reasonably cause serious harm to the festival, its partners, venues or participants.
14. Young filmmakers
Young filmmakers may enter RATMA where permitted by the published entry requirements.
Where a parent or guardian's permission is required, RATMA may request evidence of that permission.
The entrant remains responsible for ensuring that any required permissions have been obtained.
15. Festival changes or cancellation
RATMA intends to deliver the festival as advertised but reserves the right to change dates, venues, screening arrangements, categories or other festival arrangements where circumstances require.
If the festival is cancelled or substantially changed, RATMA will communicate relevant information to affected entrants where reasonably possible.
16. Film entry and voluntary donations
RATMA Film Festival is free to enter. We do ask entrants if they would like to make a voluntary donation to help support the festival, but making a donation is entirely optional and has no bearing on film selection or participation. There is no charge to enter a film into the RATMA Film Festival.
The decision to make, or not make, a donation will have no effect on the selection of a film or any other aspect of participation in the festival.
There is a minimum donation of £5 but entrants may choose whether to donate and, if they do, how much to give.
Where a donation is made, RATMA will use the funds to support the running and development of the festival and its activities.
RATMA does not provide preferential treatment, additional consideration or any other festival benefit in return for making a donation.
Where applicable, any donation payment arrangements and information about how donations are used will be clearly explained at the point the donation is requested.
17. Refunds and donations
Because donations are voluntary gifts rather than a payment for entry to the festival, RATMA does not treat a donation as an entry fee.
Where a donation has been made voluntarily, RATMA will not normally refund the donation simply because a film is not selected, the entrant subsequently withdraws their film, or the festival arrangements change.
Nothing in this section affects any legal rights that may apply to a particular payment or transaction.
18. No preferential treatment
Whether or not an entrant makes a donation will not affect:
- Whether their film is considered for selection
- The selection decision
- The judging process
- Public voting
- The opportunity for a selected film to be screened
- Any prize or award for which the film is otherwise eligible
RATMA will not give preferential treatment to filmmakers who make a donation.
19. Payment providers
Where online donations are accepted, payments may be processed through a third party payment provider.
The payment provider may collect and process information necessary to process the donation in accordance with its own terms and privacy notice.
RATMA does not receive or store full payment card details where these are processed directly by the relevant payment provider.
The specific payment provider or providers used by RATMA will be identified on the website or donation page where appropriate.
20. Data protection
Personal information supplied as part of a film entry will be handled in accordance with the RATMA Privacy Policy.
Our Privacy Policy explains what information we collect, why we collect it, how long we retain it and the rights available to individuals.
21. Acceptance of these Terms
By submitting a film to RATMA, the entrant confirms that:
- They have read these Terms and Conditions.
- They have the authority to submit the film.
- They have obtained the necessary rights and permissions.
- The information supplied with the entry is accurate to the best of their knowledge.
- They understand that selection is not guaranteed.
- They agree to the terms relating to the screening of a selected film.
Optional permissions, including post-festival online screening and certain promotional uses, will only apply where the entrant has actively agreed to those permissions on the entry form.
